Data Policy
Plain-language explanation of exactly what we collect, why, and what you can do about it. For the legal version, see our Privacy Policy.
What we collect

| Email address | Account creation, login, notifications, and password reset. We never sell or share it. |
| Username | Public display name on the platform. Visible to all users. |
| Password (hashed) | Stored as a bcrypt hash. We cannot read your password — nobody can. |
| Avatar image | Profile display. Stored on Google Cloud Storage or our server. |
| Bio | Optional profile text you choose to share publicly. |
| Gender / community group | Optional identity fields. Visibility is controlled by you (public / friends / hidden). |
| Google OAuth ID | Only stored if you sign in with Google. Used to link your Google account to your profile. |
| OtakuCoins balance | Virtual currency balance. Required for coin transactions and cosmetics. |
| Payment information | We do not store card numbers. Payment processing is handled by Razorpay. We store order IDs and status. |
| Event & purchase records | Paid events you joined, OtakuCoins purchases, and Season Passes — order IDs and status only. Used for access, receipts, and refunds. |
| Activity / event history | Your submissions, votes, quiz attempts, and activity participation. Powers leaderboards, badges, and progression. |
| Forum posts and replies | Public content you create. Associated with your username. |
| Blog posts | Content you publish. Associated with your username and publicly visible. |
| Notification preferences | Which email / in-app notifications you have enabled. |
| IP address (logs) | Stored temporarily in server logs for security and rate-limiting. Not tied to your public profile. |
| Session / JWT token | Short-lived auth token stored in your browser localStorage. Expires in 7 days. |
How data is collected
- Registration form — email, username, password
- Google OAuth — if you choose "Sign in with Google"
- Profile edits — bio, avatar, gender, community group (all optional)
- Platform usage — submissions, votes, quiz answers, forum posts are stored as you create them
- Payment flow — order creation with Razorpay; we receive a transaction ID and status webhook
- Support tickets — the content of messages you send to our support team
Who has access
Your data is only accessible to:
- You — via your profile and account settings
- Otaku Shinden admins — for moderation and support purposes, with all access logged in an immutable audit trail
- Razorpay — for payment processing (subject to their own privacy policy)
- Google — if you use Google OAuth (subject to their privacy policy)
- Supabase / cloud infrastructure — our database host. Data is encrypted in transit and at rest
We do not sell, rent, or share your personal data with third-party advertisers. Ever.
Data retention
Active account data is retained for as long as your account exists. Deleted accounts are purged from our primary database within 30 days; backups may retain the data for up to 90 days after deletion. Audit logs (admin actions) are retained for 2 years for compliance purposes.
Support ticket content is retained for 1 year after closure to allow follow-up investigations.
Your rights (GDPR / Indian IT Act)
Data deletion request process
- 1Send an email to support@otakushinden.com from the address registered to your account with subject: "Account deletion request".
- 2We will verify your identity and confirm the request within 3 business days.
- 3All personal data is purged from the primary database within 30 days. You will receive a confirmation email.
- 4Note: public content you created (forum posts, blogs) may be anonymised rather than deleted if removing it would break conversation threads for other users.
Cookies and tracking
Otaku Shinden does not use third-party advertising trackers or social media pixels. We use a single JWT stored in localStorage for authentication. No cross-site tracking cookies. See our Cookie Policy for full details.
